Dear Sir or Madam,

I am writing to complain about my stay in your hotel last month. I stayed there from 12 to 15 August with my wife because it was our wedding anniversary and we wanted to have a relax holiday near the beach.

Firstly, when we arrived the room was not ready and we waited in reception during two hours. After that the receptionist give us a room in the back of the hotel, but I booked a room with sea view. When I ask for change, she said there is no other room.

Secondly, the air conditioner in our room didn't worked, so it was very hot and we couldn't sleep good. I called the reception two times but nobody didn't come to fix it. Honestly, it was a nightmare and my wife was so upset!

Finally, the breakfast was also very poor, there was not enough food and the staff was not friendly.

I paid for a sea view room and I did not get it, so I think this is not fair. I would like you to give me back some of the money for the room. Also I hope you train your staff better so other guests don't have the same problem.

I look forward to hearing from you.

Yours faithfully,

Daniel Moreno

Answer this question

Why this is Band 6: criterion by criterion

Task Achievement

Band 6

All three bullet points are addressed: the reason and dates of the stay are given, several problems are described, and a request is made. The purpose is generally clear, but the tone is inconsistent — the letter is mostly formal, yet it slips into a conversational register with "Honestly, it was a nightmare and my wife was so upset!", which is not appropriate for a complaint to a manager. The request itself is vague ("give me back some of the money"): the manager is not told how much or on what basis, and the breakfast point is mentioned without being connected to what the writer wants. Covering every bullet with uneven, partly inappropriate treatment is typical of Band 6.

Coherence and Cohesion

Band 6

The letter is organised in a sensible order — reason for writing, problems, request — and there is a clear overall progression. However, the linking is mechanical: three paragraphs in a row begin with "Firstly", "Secondly" and "Finally", as if the problems were a numbered list rather than one connected experience. The one-sentence breakfast paragraph is too short to justify its own paragraph, and referencing is sometimes loose ("this is not fair" — what exactly is unfair?). Cohesion works, but it is faulty or mechanical in places, which is the Band 6 description.

Lexical Resource

Band 6

The vocabulary is adequate for a hotel complaint, with appropriate items such as "wedding anniversary" and "train your staff", and a correct formal opening and closing. The range is limited, though, and there are errors in word form: "a relax holiday" should be a relaxing holiday and "sleep good" should be sleep well. The word "room" is repeated seven times rather than varied (accommodation, the one we were given). These errors do not prevent understanding, so Lexical Resource reaches Band 6.

Grammatical Range and Accuracy

Band 5

This is the weakest criterion. The writer attempts some complex sentences ("When I ask for change, she said…"), but errors are frequent: verb forms are wrong in "the receptionist give us", "When I ask", "didn't worked" and "nobody didn't come", and the preposition in "during two hours" should be for two hours. Articles are missing ("a room with sea view" → a room with a sea view), reported speech is not backshifted ("she said there is"), and "the breakfast was also very poor, there was not enough food" is a comma splice. Because errors appear in most sentences and the range of structures is limited, grammar is rated Band 5 — which is why the overall band is 6 rather than a secure 6 across the board.

Useful vocabulary and collocations

I am writing to complain about
a correct, formal opening; at Band 7+ vary it with I am writing to express my dissatisfaction with.
wedding anniversary
accurate collocation that explains the purpose of the stay.
the room was not ready
clear and natural; add detail such as despite our confirmed booking to extend it.
give me back some of the money
understandable but vague; a Band 7 writer would ask for a partial refund or a refund of the difference.
train your staff
correct verb–noun collocation for a request.
I look forward to hearing from you.
a standard formal closing, correctly used with "Yours faithfully".

How this letter could reach Band 7

  1. 1Keep the tone consistently formal: replace "Honestly, it was a nightmare" with something like This was extremely distressing, particularly on such a special occasion.
  2. 2Make the request specific — say exactly what refund you want and why (for example, the difference between the sea-view room you paid for and the room you received).
  3. 3Work on verb forms: past simple after "When I…" and "the receptionist…", didn't work (not "didn't worked") and a single negative (nobody came). Fixing these would lift grammar from Band 5 to Band 6 or above.
